The playbook

Website Planning: Automation Workflow

A website planning automation workflow should handle repeatable preparation and record movement while preserving the decisions that require context. Start by defining a reliable trigger around a page or interaction record. Then specify the required information, the permitted action, and what happens when the conditions are not met.

Put the task in context

For a home-services site, define whether the primary action is an emergency call, a scheduled visit, or an estimate request. Each implies different information and routing. Decide which action applies to each service before choosing the page layout.

Define the input contract

The workflow should receive a stable item reference plus audience, task, page, function, owner. Identify which fields are required to proceed and which are optional context. A missing required value should create an exception for review rather than silently causing the workflow to guess.

Workflow specification

StageRule
TriggerA page or interaction record enters the agreed review or processing state
ValidateConfirm audience and task belong to the correct scope
PrepareList the primary audiences and their decisions
EvaluateMap each decision to content and functionality
VerifyAgree on launch scope and acceptance criteria
ExceptionRoute evidence of starting visual design before the business goal is clear to website lead
CompleteRecord the outcome and stop repeated processing of the same completed event

Choose the boundary of automation

Automate collection, consistent formatting, reminders, and record movement where their rules are clear. Keep interpretation and approval with an accountable person when the information is ambiguous or the action affects customers. In particular, write a short brief with one primary visitor outcome only after the evidence supports that action. An automation can prepare the decision without making every judgment itself.

Test conditions that ordinary demos miss

  • A complete valid page or interaction record takes the expected path.
  • A missing audience produces a visible exception.
  • The same event received twice does not produce unintended duplicate action.
  • An interrupted run can be investigated without losing the original context.
  • A pause or stop instruction prevents further processing as designed.

Use test records before introducing live customer or production work. Trace the event from receipt to final state, and inspect the actual destination record. A success message in the automation log is insufficient when the receiving system did not accept the intended change.

Monitor and change the workflow

Track completed runs, exceptions, duplicate events, and the outcome definition for priority visitor tasks supported. Review a sample of successful runs as well as failures; a consistently wrong result may never produce an error. When a source field or process rule changes, version the workflow and rerun the affected tests.

This is a platform-neutral design specification. Confirm that the selected tools support each trigger, field, and action before implementation. If a required action is unavailable, use a documented manual step rather than presenting the workflow as fully automated.

Treat visual changes and functional changes separately in the change log. A clearer label may improve comprehension, but a broken submission destination still prevents completion. Confirm both understanding and successful delivery.
