The playbook
Alt Text: Automation Workflow
A alt text automation workflow should handle repeatable preparation and record movement while preserving the decisions that require context. Start by defining a reliable trigger around a page or query record. Then specify the required information, the permitted action, and what happens when the conditions are not met.
Put the task in context
For a linked image, the text alternative should communicate the link's purpose. For a chart, provide the important finding and an accessible explanation of the data. Purely decorative images usually need an empty alternative rather than a verbose description that adds no useful information.
Define the input contract
The workflow should receive a stable item reference plus image, purpose, text alternative, long description. Identify which fields are required to proceed and which are optional context. A missing required value should create an exception for review rather than silently causing the workflow to guess.
Workflow specification
| Stage | Rule |
|---|---|
| Trigger | A page or query record enters the agreed review or processing state |
| Validate | Confirm image and purpose belong to the correct scope |
| Prepare | Determine whether an image is informative functional or decorative |
| Evaluate | Describe necessary information in the current context |
| Verify | Check image links buttons and complex diagrams separately |
| Exception | Route evidence of stuffing keywords into every text alternative to SEO lead |
| Complete | Record the outcome and stop repeated processing of the same completed event |
Choose the boundary of automation
Automate collection, consistent formatting, reminders, and record movement where their rules are clear. Keep interpretation and approval with an accountable person when the information is ambiguous or the action affects customers. In particular, describe the purpose and provide longer explanations when needed only after the evidence supports that action. An automation can prepare the decision without making every judgment itself.
Test conditions that ordinary demos miss
- A complete valid page or query record takes the expected path.
- A missing image produces a visible exception.
- The same event received twice does not produce unintended duplicate action.
- An interrupted run can be investigated without losing the original context.
- A pause or stop instruction prevents further processing as designed.
Use test records before introducing live customer or production work. Trace the event from receipt to final state, and inspect the actual destination record. A success message in the automation log is insufficient when the receiving system did not accept the intended change.
Monitor and change the workflow
Track completed runs, exceptions, duplicate events, and the outcome definition for informative images with useful alternatives. Review a sample of successful runs as well as failures; a consistently wrong result may never produce an error. When a source field or process rule changes, version the workflow and rerun the affected tests.
This is a platform-neutral design specification. Confirm that the selected tools support each trigger, field, and action before implementation. If a required action is unavailable, use a documented manual step rather than presenting the workflow as fully automated.
Keep page purpose visible throughout the work. A technically valid page can still fail to answer the reader’s question. Separate access and discovery problems from content problems so that the assigned action matches the cause.
